Routing and notifications
Decide who hears about each response, what visitors see afterwards, and which emails go out.
Open a form's Routing tab. You need the Manage routing permission.
Rules
Rules are checked from top to bottom, and the first one that matches wins:
If [question] [is / ends with / contains] [value] → [action] [who or what]
For example: If Work email ends with @bigcorp.com → Assign to Priya.
- Comparisons ignore upper and lower case. For checkbox questions a rule matches when any ticked option does.
- Everything else catches responses no rule matched. By default it notifies the workspace owner.
- Use ↑ ↓ to reorder and × to remove a rule.
| Action | What happens |
|---|---|
| Assign to | The response is assigned to that teammate, who is notified |
| Notify | That teammate is notified |
| Tag as | The response gets a tag you choose |
| Create ticket in | A helpdesk ticket is opened from the response, under the topic you pick. See Helpdesk |
If a rule names someone who later leaves the workspace, responses go to the owner instead.
After someone submits
- Show a message — your text appears under "Thanks, first name." on the thank-you card.
- Redirect to URL — visitors are sent to a page on your site. The address must start with
https://(orhttp://).
Notifications
When Email is on, whoever a rule assigns or notifies also gets an email (it names the form and the person, never their answers). Everyone always gets the notification in the bell at the top of the app — live, as it happens.
Daily email digest: each morning you get a summary of yesterday's responses and anything you haven't read. Turn it off from the bell.
