Publishing and visibility

Put a form live, update it safely, and choose who can open it.

Publishing a form

Press Publish in the builder (or Publish from the ⋯ menu on the forms list). OurForms checks the form first and tells you if anything needs fixing.

Once a form is live, edits you make in the builder go to a draft. Visitors keep seeing the published version until you press Publish changes, so you can rework a live form without anyone seeing it half-finished.

Unpublish takes the form offline: its link stops working, but the form, its responses and the last published version are all kept.

You need the Publish forms permission to publish, unpublish or change anything on the Publish tab.

Statuses

Status Meaning
Draft Being built; the link shows nothing
Published Live and taking responses
Scheduled Published, but its open date hasn't arrived yet
Closed Past its close date or response limit

Who can open it

On the form's Publish tab, under Who can open it:

  • Public — anyone with the link. Search engines may list it.
  • Unlisted — anyone with the link, but search engines are asked not to list it.
  • Password — visitors enter a password first. Type a password (at least 4 characters) and press Save; the form only switches to Password once a password is saved, so it's never locked with no way in.

Password access lasts 12 hours on a visitor's device and stops working as soon as you change the password.
