Decisions and messages
Set up decisions with email templates, then decide and reply in a couple of clicks.
Setting up decisions
Open a form's Decisions tab. Every form starts with Accepted, Needs more info and Denied, plus Pending review — the fixed default for responses nobody has decided yet.
For each decision you can set:
- a name and a colour;
- Email the submitter when this status is set — with a subject and a message.
The message editor supports bold, italic, underline, lists and links, and these tags, which are filled in for each person:
| Tag | Becomes |
|---|---|
{first_name} |
The submitter's first name |
{form_name} |
The form's name |
{submission_id} |
The response's number, like #1042 |
+ Add status adds another decision (up to 12). Delete status removes one and moves its responses back to Pending review.
Deciding
In the review drawer, click a decision. If that decision emails the submitter, its message is put in the composer, ready for you to personalise — nothing is sent until you press Send.
Messaging the submitter
Message to first name sends an email to the address they gave. Start from fills the subject and text from any decision's template. The email comes from your workspace's name, and when they reply it goes straight to you.
Every message sent is listed in the response's activity. To keep things friendly for everyone, each person can send up to 60 messages an hour.
